“Fuji Xerox’s partnership with Genoko, and their deep and extensive understanding of document imaging and management, has helped us define and implement smarter ways to optimize our document intensive processes, and also realize year on-year cost savings across the organization.”
Globally, ASTI Group has 4 research and development centres, 15 factories and 45 sales offices that span from Southeast Asia, Greater China, India, Korea, the United States of America and the United Kingdom. The Semiconductor Equipment division, comprising of Semiconductor Technologies & Instruments Pte Ltd (“STI”), offers a comprehensive range of equipment for semiconductor assembly and test.
With a lean team of only 6 personnel, the procurement team processes close to 2000 purchase orders and quotations on a monthly basis.
Extremely critical for timely submission of purchase orders with any delay causing catastrophic effects on the delivery
Each purchase order has to be accompanied with supporting documents such as product specifications and drawings.
Different mediums were use for supporting documents and staff have to keep track and sort all documents.
Each purchase order also requires several signatories from the various approving parties within STI before the hard copies are finally mailed out to the suppliers.
Together with Genoko, Fuji Xerox proposed TeleForm, a Document Imaging solution.
TeleForm is integrated with the existing Fuji Xerox AP3C 6500 MFD, saving the cost to buy new scanner.
The setup phase included the design and creation of templates according to the types of purchase orders received from STI suppliers, a critical step for TeleForm to identify each purchase order being scanned and compiled.
All supporting documents of purchase order are compiled and sorted via optical character recognition feature within TeleForm, eliminating all manual sorting steps.
Documents are stored and indexed electronically in a common network repository, releasing office space and improving search and retrieval of information
All purchase orders are now scanned and emailed to suppliers before 11a.m. daily, reducing the turnaround time by 100%
